Fleet Telematics Privacy & Driver Data Policy
Statutory privacy policy governing the capture, transmission, and retention of driver location telemetry, dashcam video events, driving behavior scores, and Proof-of-Delivery records under the Protection of Personal Information Act (POPIA Act 4 of 2013).
1. Categories of Telematics Data Collected
TransFleet processes vehicle telematics and operational logistics records:
- Driver Personal Identifiers: Full legal name, South African ID or passport number, PrDP permit category and expiry, contact mobile number, and pre-trip biometric facial verification photos.
- Vehicle GPS Telemetry: Real-time latitude/longitude coordinates, speed over ground, heading, ignition status, odometer readings, and geofence boundary crossing events.
- Driving Behavior Telemetry: Harsh acceleration, harsh cornering, severe braking G-forces, engine over-revving, and prolonged vehicle idling.
- Consignment & POD Records: Consignment notes, recipient names, delivery confirmation timestamps, GPS drop-off coordinates, and digital stylus signatures.
2. Driver Notification & Workplace Privacy
2.1. Employment Notification: The Fleet Operator is legally obligated to inform commercial drivers that company vehicles and mobile dispatch devices are equipped with GPS tracking and telematics recording pursuant to South African labor law and Section 18 of POPIA.
2.2. Shift-Based Tracking: Driver location tracking is active during operational shift hours and dispatched journeys. Personal off-duty tracking without driver awareness is strictly prohibited.
3. BigQuery Telematics Security & Sharding
All GPS pings, trip corridors, and electronic manifest documents are transmitted via TLS 1.3 and stored in isolated client BigQuery tables (biz_<clientId>) partitioned by day. TVB Network enforces cryptographic isolation preventing any other fleet operator from inspecting your routes, client drop-offs, or driver scores.
4. Archival & Retention Schedules
In compliance with transport statutory requirements and the Tax Administration Act:
- Electronic delivery notes, bills of lading, and freight invoices are retained for five (5) years.
- Vehicle trip telemetry logs and speed records are retained for a minimum of three (3) years to facilitate road accident investigations and RAF claims.
